Update group data

Apply updated group data from the Primary set to active scenarios

When your active groups have updates you can make changes in bulk directly to your primary set by CSV and then use the data comparison table to bring the new data into your active scenario, while keeping their existing allocations in the active scenario.

Whenever there has been a change to the data in your primary set so that it no longer matches the active scenario, you will see a green button Create scenario with new group data on your active scenario. This button will create a copy of your active scenario after comparing the new data to the existing data in your scenario.

Clicking this button will bring you to the data comparison page, where you will see all the changes listed. Here you can choose which you would like to use. The default selection will be the new data from the primary set. Note that changes only show for the active scenario/building you are currently viewing.

Upload group data by CSV to the Primary set

You can upload directly to the primary set to update groups by CSV

Steps:

  • Go to the Primary set

  • Download CSV – this will download groups for all buildings. You can then filter by building in your CSV if you are making changes only for a specific building.

  • Make changes to the CSV.

    • You can also upload your own CSV with only the groups and fields you need to update rather than all groups

    • If you are updating an existing group, you need to include the group's UUID (unique identifier) which can be found in the downloaded CSV

    • For new groups name is the only required field

    • Building is a required field for all groups

  • Upload your edited CSV to the primary set

  • Go to the Workplace – to your active scenario

    • See green button that has appeared – click to create a new scenario with the updated data from primary set

  • This brings you to the data comparison screen

  • Follow the instructions in the panel on the right side of the page to select the data you want to use in your scenario. As a default the new data from your primary set will be selected.

  • Click CREATE

  • Review your scenario and make updates to allocation as necessary

  • Activate when finished

Add new groups

To add new groups to the primary set, add them as a new line to your CSV and upload. The only required fields are name and building. A UUID for the group will be generated automatically.

In the data comparison table, you will see the new groups under ADD AND DELETE GROUPS with a green tick.

Steps to add new groups

  1. Download CSV from Primary set

  2. Add new groups to CSV. Only name and buildingName are required fields.

3. Go to People page and upload to Primary set

4. Go to Workplace

5. Click Create scenario with new group data

6. In the DATA COMPARISON table, you will see the new group, with a green tick beside them and the box highlighted green. This indicates that the new group will be included in your newly created scenario.

7. Click CREATE in the bottom-right corner

8. This will take you to the Workplace and into your newly created scenario where you will see the new group. From here, you can evolve or manually allocate to the floorplan as usual.

Update groups

To update existing groups, download the primary set CSV. Make changes to the groups in the downloaded CSV and then upload. Here it is important that you do not change the group's UUID, as this tells gospace which group you have updated (which enables you to change the group name as needed).

In the data comparison table, you will see any updated groups under UPDATE GROUPS.

The selection of each item in the New data from primary set column will bring your updated data into the new copy of you active scenario.

Delete groups

To delete groups, you will need to delete them manually from the primary set. This is to prevent any groups from unintentionally being deleted and data being lost. You can select groups in bulk by ticking the box beside them and then using the delete button at the top.

In the data comparison table, you will see deleted groups under ADD AND DELETE GROUPS marked with an ❌

This selection of ❌ means the groups will be removed from the new scenario you create.

Note:

  • If groups are not allocated in your scenario they still still be included/updated in your primary set when you activate a scenario that they are a part of

  • Targets in your scenario do not currently update the primary set
